Who we are

Dekela HR Services provides HR consultancy, employer support, workplace investigation and management training services. Questions about this notice can be sent to hey@dekela.com, raised regionally by calling 01824 544 568, or raised UK-wide by calling 0330 043 3983.

Information we collect

Depending on how you interact with us, we may collect:

  • Your name, role, organisation and contact details.
  • Information included in an enquiry, email or consultation booking.
  • Records of communications and the services you are interested in.
  • Technical information such as IP address, browser information and security logs.
  • Where you become a client, information needed to deliver the agreed service. This may include employee or workplace case information and, where relevant, special-category personal data.

Please do not send unnecessary sensitive employee information in an initial website enquiry. We will agree a suitable secure method for case material where needed.

How and why we use personal information

We use information to respond to enquiries, arrange consultations, prepare proposals, deliver agreed services, administer client relationships, protect our systems and meet legal or professional obligations.

Our lawful bases may include taking steps before a contract, performing a contract, complying with a legal obligation, and legitimate interests in running and protecting the business and responding to prospective clients. Where consent is the appropriate basis, it can be withdrawn.

Additional conditions and safeguards apply where special-category or criminal-offence data is processed during an HR assignment or workplace investigation.

Sharing information

We do not sell personal information. Where necessary, it may be shared with trusted providers supporting website hosting, enquiry delivery, email, calendar booking, secure IT and administration; professional advisers; or regulators, courts and public authorities where disclosure is required.

Website enquiries are stored in Dekela’s protected Lovable Cloud database, which is provided using Supabase infrastructure. Google Calendar processes the information needed when you choose to use its separate appointment-booking service. Where enquiry notifications are enabled, the minimum information needed to alert Dekela may also be processed by the approved email provider.

International transfers

Some technology providers may store or access information outside the UK. Where this happens, we expect an appropriate UK transfer mechanism or other lawful safeguard to be in place. Contact us for more information about safeguards relevant to your data.

How long we keep information

Website enquiries that do not lead to client work are normally kept for up to 12 months after the last meaningful contact, unless they are needed for longer to resolve a complaint, protect legal rights or meet an obligation. If an enquiry becomes client work, the relevant client and professional-record retention periods apply.

The period also reflects the nature and sensitivity of the data, relevant limitation periods and the risk associated with continued retention. Information is securely deleted or anonymised when no longer required.

Your data-protection rights

Depending on the circumstances, you may have rights to access information, correct inaccuracies, request erasure or restriction, object to certain processing, receive portable information, and withdraw consent where consent is relied upon.

Contact hey@dekela.com to exercise a right. We may need to verify your identity. You may also complain to the UK Information Commissioner’s Office at ico.org.uk.

Security, children and changes

We use proportionate organisational and technical measures intended to protect personal information, although no internet or storage system can be guaranteed completely secure.

The website and services are intended for organisations and employers, not children. This notice may change when our services, suppliers or obligations change. The date above shows when it was last reviewed.
